Administrative Coordinator
Job Description Summary
The Administrative Coordinator is supervised by and reports directly to the Director of Conference & Event Planning (CEP) and is responsible for providing administrative support to the Director and the CEP program, manage all functions of the CEP office areas, supervise the Student Desk Assistant and ensure that the CEP office is adequately covered on a daily basis year-round to handle incoming client calls, visits and inquiries. This position performs financial processing and record keeping functions in support of CEP finances.
Minimum Qualifications:
• High school diploma or equivalent and 4 years of experience, or AA/AS degree and 2 years of progressively responsible office support experience, preferably in conference or event planning
• Ability to perform complex, highly responsible and confidential duties
• Excellent computer skills including Microsoft Word and Excel
• Ability to prioritize, plan, organize, and meet time lines
• Knowledge of conference programs and their deployment
• Knowledge of event planning/scheduling
• Must be self-motivated and be a self-starter
• Ability to work independently under general supervision with high level of independent judgment
• Excellent organizational skills
• Ability to lead others in managing tasks; train and evaluate the performance of assigned personnel
• Ability to establish and maintain cooperative and effective working relationship with others
• Excellent verbal and written skills and the ability to interface with all levels of the university community
• Interpersonal skills using tact, patience, and courtesy
• Ability to maintain regular and reliable attendance
• Possession of a valid California Driver’s License and satisfactory driving record
• Ability to solve problems effectively, calmly and quickly
• Ability to multi-task and perform work efficiently
• Must be able to work under program deadlines.

• Organize work effectively and prioritize objectives
• Ability to adapt to a quick changing fast paced environment
• Be able to work occasional weekends or evenings as needed
• A background check is required for all regular benefited positions
• The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment
• Incumbent may be required to work occasional weekends and evenings
