Cal Poly Corporation Outreach Coordinator Job Summary Under the general supervision of the Educational Talent Search Program Director, the Outreach Coordinator is responsible for assisting junior high and high school students who are low-income and/or potential first-generation college students to graduate from high school to pursue a post-secondary education. The Outreach Counselor will help coordinate, plan, develop and implement all project services at the target schools in Guadalupe, Nipomo and Santa Maria. Additionally, the position provides advising to program participants regarding college requirements. The Outreach Counselor identifies university and community resources that would enhance and augment existing program services. The position works with the Program Director and Program Coordinator in meeting the goals and objectives as outlined in the grant application. The Outreach Counselor/Advisor regularly drives to target schools, and works irregular hours including intermittent evenings and weekends. This is a 10-month position, which will be determined by the immediate supervisor. Under supervision, incumbents perform basic professional Student Services work characterized by continuing assignments in which the primary work processes and tasks assigned follow well-established work procedures. This classification encompasses a trainee level (Range A) and a fully developed working level (Range B). While the duties performed at both levels will be similar, employees possessing little or no experience will be placed in Range A and will function, with closer supervision, in a trainee capacity for approximately six months to twelve months (not to exceed twelve months). Upon successful completion of the training, the incumbent is expected to be able to perform the duties of the Student Services Professional I, Range B classification under general supervision. Employees in Range B will be expected to perform with greater independence and under general supervision in performing the duties encompassed by this classification. Duties and Responsibilities Annually department assignments will be evaluated to align with program needs and priorities, which may lead to cross-functional assignments among staff. The work will entail support for Student Academic Services’ programs and services. The following examples illustrate typical work activities and are not meant to be inclusive or restrictive: Outreach * Assist with the development and implementation of promotional efforts to inform schools and community about the Educational Talent Search program. * Assist the Project Program Coordinator with the outreach recruitment of project participants. * Under the direction and guidance of the Project Program Coordinator, present interactive workshops on educationally related topics. * Assist with advocating for program participants at their respective schools. * Assist with planning, developing and implementing of participant parent support effort. * Assist with maintaining positive working relationships with school guidance staff and other key target site school personnel. * Maintain regular contact with school site liaisons. Advising * Assist Project Program Coordinator with developing, maintaining and coordinating the program academic advising component through interactive workshops. * Advise program students in the areas of high school preparation and graduation, educational goals, admission requirements and options. * Assist with the planning, developing, implementing, monitoring and maintaining of individual educational plans for each student participant. * Maintain up-to-date knowledge of college entrance and financial aid requirements as well as programs of study for student participants. * Assist student participants and their parents with forms for college admission and financial aid. * Keep program participants informed about standardized testing resources * Assist with the planning, coordination and evaluating of program activities (i.e. fieldtrips and special events). Program Assistance * Assist with planning, developing and implementing of schedules and timelines for all project activities. * Assist with maintaining current and accurate records of services provided to program participants. * Assist with maintaining and documenting all diagnostic, post-assessment data and related measures of student performance. * Assist in preparing of all program reports, including annual performance reports and grant funding proposals. * Assist in updating and implementing program marketing and publicity efforts, email and telephone communication, social media updates, program brochures and flyers. * Monitor and document all student participant contacts. * Assist with tracking of program graduates. Other Duties as Assigned * Serve as a liaison and represent Educational Talent Search program in the community, university, program school sites, partnerships, committees, and professional associations. * Represent the interests of the program in regional and national professional associations. * Participate and represent the department in assigned Student Academic Services, Student Affairs and other university colleges, committees and activities. * Participate in professional development and prepare and make verbal and written presentations. * Participate in computer and other technological training required by department. Educational Requirements SSP lA: Baccalaureate degree with student services experience desirable. SSP lB: Baccalaureate degree with a minimum of one-year student services experience. Position Requirements SSP lA/lB * Must exhibit professional and personal qualities necessary for establishing and maintaining effective and cooperative working relationships with school site personnel, students, parents and a diverse staff. * Must possess excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, on-line systems, internet as well as online calendaring and email. * Must be willing and able to work occasional extended work weekdays and weekends and adjust work hours to meet adjusted work week. * Ability to work independently making appropriate decisions with minimal guidance. * Must demonstrate commitment to program objectives. * Must be able to work in a high energy, diverse and demanding environment and respond in a positive, supportive and professional manner. * Must be willing to travel and attend training programs off-site for occasional professional development. * Must possess ability to effectively communicate information in a clear and understandable manner, both verbally and in writing, including one-to-one, small groups and large groups; and effectively interact with students. * Demonstrated ability to maintain a high degree of confidentiality. * Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities and to respond appropriately to conflicts and problems. * Ability to initiate, establish and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the university. * Must travel to target sites. Must have reliable transportation, ability to hold a valid California driver’s license and a driving record acceptable to Educational Talent Search insurance underwriters. * Must be willing to accept reassignment of duties if needed and to participate in cross training. * Must be able to successfully pass a background and fingerprint check. * Must submit to TB testing. * Bilingual preferred (fluent in written and spoken English and Spanish). * The person holding this position is considered a “Mandated Reporter” under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment. * Demonstrated experience in program planning, implementation and coordination. * Must possess ability to interpret, communicate and apply regulations, policies and procedures. * Experience working with multicultural, low-income, first-generation and other non-traditional or underserved student populations preferably in an educational environment. * Must possess excellent organizational and time management skills with attention to detail and the ability to set own priorities and follow-through with multiple assignments that have fluctuating and time-sensitive deadlines. * Demonstrated ability to use analytical skills for designing learning assessments, interpreting results, and making recommendations for future planning.
