Program Manager
The Herbert Wertheim College of Medicine is currently seeking a Program Manager to join our team of professionals.
Duties Include:
- Collaborates with the Strand Leaders, Clerkship Coordinators, Clerkship Directors, and Curriculum Committee to develop the content of Period 4
- courses, produces syllabi which complies with the goals and objectives of the medical school and the policies of the Curriculum Committee, and maintains the Period 4 catalog.
- Participates in the preparation of Liaison Committee for Medical Education (LCME) accreditation materials.
- Oversees the scheduling of courses for Period 4. Confirms teaching schedules and materials are available in a timely fashion for the faculty and the medical students. Updates the Period 4 canvas page at least annually. Provides medical students with information regarding course orientations and contacts, prior to the start of each rotation
- Leads the coordination of orientation activities for the medical students at the affiliated hospitals. Collaborates with faculty to familiarize residents, graduate students, and post-doctoral trainees with course objectives and with respective roles in teaching and evaluating medical students.
- Monitors the performance of each student and compiles documentation for the leadership team. Acts as liaison between clinical sites and leadership team when concerns regarding students arise. Gathers data to create short- and long-term reports and trend analysis.
- Organizes and participates in faculty retreats, faculty development sessions, affiliate dean meetings, and other functions the student program office needs to promote student education.
- Prepares final grades to submit to the Registrar's Office. Ensures medical students comply with the graduation requirements through continuous monitoring of schedules and submitted grades.
- Serves as liaison to the faculty, hospital staff, and affiliate clinical sites to answer questions about the medical education program. Sends student schedules to each affiliate site and preceptor at the start of the academic year. Provides updates to clinical affiliates and preceptors regarding courses and students' schedules.
- Supervises administrative staff, monitors performance, and ensures that they are meeting the goals and objectives of their role.
- Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
- Manages the daily operations of the rotations for 4th year medical students. Establishes and monitors deadlines, collects data, develops reports, manages priorities, and establishes guidelines for administrative processes, and monitors policies and procedures related to Period 4 (P4).
- Ensures that students have met all credentialing requirements prior to the start of their rotations.in collaboration with the Office of Student Affairs and clinical affiliated sites.
- Oversees the annual e-value optimization process for Period 4 student scheduling. Manages all aspects of Period 4 students' schedules; including elective and required courses. Responds to add/drop requests and other scheduling concerns.
- Organizes annual course reviews as part of HWCOM's process of continuous quality improvement.
- Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
MINIMUM QUALIFICATIONS
Bachelor's degree in an appropriate specialization and four (4) years of related experience, or Master's degree in an appropriate specialization and two (2) years related experience.
