BASIC FUNCTION AND RESPONSIBILITY
The Tippie College of Business/Graduate Management Programs (GMP) seeks an Educational Services Coordinator that will contribute to the success of nearly 1500 graduate students annually through the coordination and support of registrar-oriented services to students, support services to faculty, and administrative support to staff. The Coordinator works collaboratively with multiple constituents within the Tippie College of Business including GMP campus-based and satellite campus staff.
- As a key member of the team that supports the development and success of GMP students, the Coordinator plays a role in every student’s experience and supports the team’s culture of optimism, collaboration, proactive problem solving, and stellar service to our students.
- Duties include but are not limited to:
- Coordinate student add/drops, waitlists, MAUI course entry, and assist with degree audit/progression.
- Assist registrar service directors in preparation of program course schedules.
- Provide services to faculty including transportation/travel arrangements and coordinate with academic units the timing, scheduling, and location of make-up exams.
- Create, manipulate, and run various reports used for day-to-day operations and programmatic decision making.
- Maintain various student systems include GMP student portal and student photo directory, as well as syllabus repository.
- Registration/Enrollment Services and Scheduling
- Support Registrar Services director and assistant director with GMP enrollment tasks including registration authorization, prerequisite, and grade submission checks and course schedule creation.
- Process GMP add/drops and withdrawals.
- Assist in management of course waitlists.
- Assist with course entry and revisions within MAUI, the University course management system.
- Assist Registrar Services director and assistant director with degree audit/graduation analysis processes.
- Systems Support, Data Collection, Analysis, and Reporting
- Run various campus data and Registrar reports including weekly enrollment reports and comparisons, active student reports, retention pipeline, among others. Manipulate data as needed for appropriate display of data.
- Create program composition reports including employer representation and student profile.
- Partner with Stead Technology Group to maintain and enhance student portal and photo directory.
- Maintain syllabi repository.
- Faculty and Student Support
- Works collaboratively with Faculty Services to support faculty for needs specific to their GMP courses.
- Maintain course material listing, seek copyright approvals, and enter requirements into MAUI.
- Schedule and track make-up exams for over 15 courses annually, as needed.
- Operational Support
- Support the daily operations of the Graduate Management Programs office. Make travel arrangements and order supplies. Serve as back-up reception and meeting recorder, as needed.
- Coordinate team meeting scheduling and provide administrative support for the Assistant Dean.

- Bachelor’s degree or equivalent combination of education and experience.
- Typically one or more years of professional administrative work experience.
- Demonstrated proficiency to utilize the Microsoft Office Suite with intermediate to advanced Excel skills.
- Demonstrated organizational skills that include high attention to detail, ability to adhere to deadlines and multi-tasking.
- Demonstrated ability to communicate in writing and verbally for effective relationships; ability to synthesize information in a clear and concise manner.
- Demonstrated experience in providing superior customer service.
- Demonstrated ability to work as a collaborative team member, remain productive under pressure situations and effectively problem solve.
- Demonstrated ability to interact positively with a diverse population.
- Knowledge of University academic systems.
